Invoice Payment Terms Explained

Updated October 14, 2026 • 5 min read

Payment terms establish when and how you expect your customer to settle their bill. Clear terms prevent misunderstandings, protect cash flow, and help your clients schedule their accounts payable.

Common payment terms

Due on receipt: Payment is expected immediately when the customer receives the invoice.
Net 7: Payment is due within 7 calendar days from the invoice issue date.
Net 14: Payment is due within 14 calendar days from the invoice issue date.
Net 15: Payment is due within 15 calendar days from the invoice issue date.
Net 30: Payment is due within 30 calendar days from the invoice issue date.
Net 45: Payment is due within 45 calendar days from the invoice issue date.
Net 60: Payment is due within 60 calendar days from the invoice issue date.

How the due date is worked out

The generator works out the due date by adding the exact number of calendar days to your invoice date. Because months have different lengths and leap years add an extra day, relying on calendar days keeps calculation completely unambiguous.

Example 1

An invoice issued on October 14, 2026 with Net 30 terms gives a due date of Nov 13, 2026.

Example 2 (Month boundary)

An invoice issued on January 31, 2026 with Net 30 terms gives a due date of Mar 2, 2026 (accounting for 28 days in February).

Both dates are computed automatically by the engine in UTC to prevent daylight savings shifts.

Deposits and partial payments

For larger jobs or custom fabrication, requesting a deposit upfront helps cover material purchases and guarantees project scheduling.

You can invoice a deposit on its own before work starts using our deposit invoice template.

When issuing your final invoice, enter what you already received in the Amount paid field. The generator deducts the deposit and highlights the remaining balance due.

Handling late payments

Most late payments happen because an invoice was misplaced or waiting on approval. Follow this simple protocol:

  • On the due date: Send a brief, polite email reminder with the invoice PDF attached. Ask if they need any additional paperwork to release payment.
  • One week past due: Call the client or accounts payable contact directly. A short conversation often resolves questions quickly.

Notice on interest and late fees: Rules on late fees and interest vary by country and state or province. Check your local rules before adding them to your terms.

Make it easy to pay

Include unambiguous payment instructions on every document. Here are common payment methods used on invoices by country:

United States (US) Zelle, Venmo, or checks payable to Your Business
Canada (CA) Interac e-Transfer to you@example.com
United Kingdom (GB) Bank transfer: account name, sort code, account number
Ireland (IE) Bank transfer: IBAN and BIC
Australia (AU) Bank transfer: BSB and account number
New Zealand (NZ) Bank transfer: account number
South Africa (ZA) EFT: bank, branch code, account number
Singapore (SG) PayNow UEN or bank transfer details
